Lead transition window
- [ ] Get outgoing lead to update the role description
- [ ] Put out the application form
- [ ] Setting up interview times and interview panels
- [ ] Talk with the leads team to figure the interview panel (max 4 interviewers including you)
- [ ] Use a when2meet or lettucemeet to figure out timeslots that all the inteviewers are available for the interview (each interview slot is ~45 minutes)
- [ ] Prepare interview questions
- [ ] Make sure the outgoing lead adds 2-3 subsystem specific technical questions
- [ ] Scheduling and doing the interviews
- [ ] Look at the responses to the applications, and send emails to each eligible applicant inviting them to an interview
- [ ] Link to your calendly
- [ ] Reschedule as needed
- [ ] Send an email confirming the interview date, time and link for each candidate
- [ ] Doing the interview
- [ ] Have all interviewers join 5-10 minutes ahead to prepare
- [ ] Debriefing and making a decision
- [ ] Try to come to a decision within the panel
- [ ] If a decision can’t be made, bring a summary of finalist candidates to following leads meeting to discuss; Make a decision by the end of leads
- [ ] Send debrief emails (let the selected candidate know they were chosen, and give feedback/encouragement to those that were not)
Mentorship Program
- [ ] Adding all mentors that signed up to the #mentorship channel
- [ ] Scheduling the first mentorship sync up (suggested: First on Saturday August 20, 1:30-2 in BA2145 + discord)
Recruitment timeline
Note: Recruitment only happens for one week per semester open for 1 week.
Fall Semester Kick-off:
- Fall Semester Kick-off
- Demo day (Fall Aug 14)
- 1 hour of presentation
- 2 hours of walking around meeting with the systems
- Have a few mentorship meetings
- Fall Clubs fairs (people can sign up for the UTAT mailing list)
- UTAT wide kickoff (Let Jeremy know what our SS specific ‘kickoff’ or recruitment event)
